My responsibility for the Bondi to Bronte Ocean Swim is ensuring volunteer information is accurate and that over 300 people are assigned to roles aligned with their availability, experience and qualifications. Historically, this relied on spreadsheets that were labour-intensive to maintain and increasingly prone to error as changes occurred. TaskWiz centralised data capture and automated assignments, strengthening rostering accuracy and significantly reducing administrative effort. The transition was straightforward and integrated smoothly with our existing workflows. It is now an essential part of how we plan and deliver the event.

My role involves ensuring volunteers receive clear and timely information before and during the event. Previously, communication was dispersed across multiple channels and manually coordinated. TaskWiz consolidated volunteer data and enabled personalised notifications outlining responsibilities, reporting times and expectations. It has strengthened our communication process and improved volunteer preparedness and confidence.

In the lead-up to the 2025 swim, information shared with volunteers was noticeably more organised than in previous years. Updates were timely and easy to follow, making responsibilities clear. Learning that TaskWiz supported coordination behind the scenes explained the improved clarity and responsiveness during the event.
