About Bronte SLSC

One of Australia's most established surf lifesaving clubs.

Founded in 1903, Bronte Surf Life Saving Club is one of Australia's most established surf lifesaving organisations. Based in Sydney's eastern suburbs, the Club oversees patrol operations, Nippers education, surf sports and major public events.

While supported by paid staff and formal governance, the Club depends on hundreds of volunteers each week across patrols, training, competitions and community initiatives.

One of its flagship events, the Bondi to Bronte Ocean Swim, attracts approximately 2,500 participants and requires close to 400 volunteers across safety, logistics, registration and course operations.

The challenge

Spreadsheets and email, at scale.

As the event grew in popularity and size, managing volunteer assignments through spreadsheets and email became increasingly difficult to manage.

Organisers needed to:

  • Capture availability and qualifications from hundreds of volunteers
  • Assign roles across multiple locations and timeframes
  • Ensure compliance with role-specific certification requirements
  • Communicate clear instructions at scale
  • Adjust quickly when availability or circumstances changed

Manual scheduling absorbed substantial time in the lead-up to the event and increased the likelihood of misallocation or communication gaps.

Enterprise platforms were reviewed but considered disproportionate to the event's operational and budget requirements.

The solution

Centralised data, automated allocation.

TaskWiz was introduced to automate role allocation and centralise communication while integrating with the Club's existing workflows.

Volunteer data collected via online forms was imported directly into the system. Roles were assigned automatically based on availability and qualifications, with organisers retaining oversight and control.

Volunteers received role-specific instructions through familiar communication channels, requiring no additional training or system adoption.

Event scope

A rigorous test, in a complex environment.

Deployment for the 2025 event involved:

  • 377 volunteers
  • 78 distinct operational roles
  • Qualification based assignments
  • Coverage across multiple zones and timeframes

This provided a rigorous test in a complex, large-scale, safety-critical environment.

Results

Where the platform made a difference.

Operational Efficiency

  • Volunteer scheduling time reduced by approximately 50%
  • Improved allocation accuracy
  • Faster adjustments to late changes
  • Elimination of version conflicts and duplicate records

For an event of this scale, this equated to dozens of administrative hours recovered prior to event day.

Volunteer Experience

  • Clearer role expectations
  • Better understanding of timing and location requirements
  • Increased confidence in contributing effectively

TaskWiz improves allocation precision, communication clarity and operational efficiency - without the cost or complexity of large enterprise systems.
